The raw natural beauty of our space can elevate and add elegance to an event. All vendors must be licensed and insured to perform at The Willow Ballroom. We are available to help guide you through the event process and can help with your vendor selections. We will always return an email or call within 24 hours. You are free to stop in as many times as you like previous to your event. Feel free to conduct pre-arranged meetings and walkthroughs. (We highly recommend this!)
If you are planning a wedding at the Willow, we require that you select a wedding planner. We also require that you select a Caterer and DJ from our Preferred Vendors List.
All outside vendors must be pre-approved by The Willow Ballroom manager. Please review our guidelines, policies, and floor plans below to get started! We look forward to working with you.
A signed contract and (non-refundable) $1,000.00 are due to book/reserve the space. The balance is within 90 days of the booking, along with a refundable security deposit.
Event insurance is required covering the day of the event with a minimum of two million dollars endorsing the Willow Ballroom at the River Road Exchange as an additional insured on the policy.

We require that you select from our catering list. These caterers work in our space on a regular basis. A caterer unfamiliar with the space is generally not likely to deliver as seamless an experience. If you must use a caterer not on our list, they must be approved by the Willow Ballroom Manager and carry the appropriate licenses and insurance as well as abide by our house rules for clean up and operation inside our space and out.
We provide tables and chairs for up to 300 guests. They are a fruitwood folding chair and 5ft round table which seats 8 guests. You're welcome to rent your own as well!
There is ample parking onsite. In the event that additional security is required, the Willow Ballroom reserves the right to obtain additional security personnel for an additional charge. Valet can be arranged for an additional charge.

Let me first say that I absolutely LOVED the vibe at the Ballroom. After only 15 minutes (literally!) of our meeting Angelica and viewing the space, my husband and I signed the contract for our wedding/reception. During the pre-wedding days, Angelica helped solve a major problem with one of our other vendors and also pitched in during the reception where she thought she could help (all gratis!) We couldn't have been more happy with our choice -- I HIGHLY RECOMMEND working with Angelica and planning your event at the Willow Ballroom!

We had our wedding ceremony and reception with ~250 guests at the Willow Ballroom and it was an absolute dream! Angelica was incredibly easy to work with, always available when we needed her, and the BIGGEST help on the wedding day. We had some issues with our caterer early on, and Angelica helped us with finding a new one and was so flexible with whatever we wanted to do in the space. She let us come to the venue during the planning process multiple times - we were engaged 20 months so it was really fun to watch the venue grow and change every time we came to visit. Fast forward to the day of the wedding and I cannot say thank you enough to Angelica! Whenever we needed ANYTHING she was there and offering to help. The venue was perfect for our vision and had such a huge part in making our day such a dream - 100 times out of 100, I would suggest this venue for any wedding or special event.

My husband and I were looking for an indoor venue for our fall wedding that wouldn't limit the amount of guests we wanted to invite or be effected by the weather. We stumbled upon the Willow Ballroom and said YES to this venue immediately. Angelica is very friendly and easy to work with, if you have questions or are stumped about the design of your event, she has great ideas and solutions. Such a beautiful venue! We had our wedding there this month and it was even more beautiful than I expected once all of the decor came together. We got so many compliments from our guests telling us how wonderful and unique the space was. Angelica is fantastic to work with and went out of her way to accommodate us. They provide some essentials, but other than that, it is a blank canvas where you can bring in all of your own stuff. Some venues are weird about charging you extra to work with vendors that aren't on their preferred list, but The Willow Ballroom and Angelica were happy to work with everyone we chose.
